How do I mark an invoice paid?

How to mark a sales invoice paid after you collect payment yourself.

2 min readUpdated November 5, 2026Team Municibid

Open the invoice, click Mark as Paid, and confirm. Use this when your agency collected payment yourself (cash, check, or another method outside Municibid). This does not charge a card. Municibid emails a receipt to you and to the buyer.

Click My Municibid in the top right, then Sales Invoices.

Click the invoice number you want to update.

Click Mark as Paid.

Confirm in the window that says “Mark this invoice as paid?” Click Mark as Paid again.

The invoice shows a green Paid status. That’s it.

Marking several invoices at once

On Sales Invoices, tick the box beside each invoice, click Mark Paid above the list, then click Mark them paid in the window that opens. Each buyer sees the invoice settled and gets a receipt, so do this only once the money is in.

Took a deposit, or only part of the money?

Open the invoice and click Record a payment under Invoice Payment History. Recording a payment does not mark the invoice paid. That stays its own step, so click Mark as Paid when the money has cleared.
